CampDoc + ACTIVENet: A New Integration for Registration and Health Records

We’re excited to announce a new integration between CampDoc and ACTIVENet, the recreation management platform from ACTIVE Network used by parks and recreation departments, community centers, YMCAs, and youth-serving organizations across the country.

For programs that use ACTIVENet to handle registration and rely on health records to keep participants safe during the season, this integration connects two parts of the operation that have historically lived apart. That means less manual work for staff and a cleaner experience for the families filling out forms.

About ACTIVENet

ACTIVENet is one of the most widely used recreation and program management platforms in North America. ACTIVE Network has spent years building tools that help recreation agencies manage registrations, payments, scheduling, facility operations, and reporting. For many parks and rec teams and community-based organizations, ACTIVENet is the system of record for everything that happens before a camp or program begins.

While ACTIVENet excels at registration and program management, it has not traditionally offered the dedicated health record workflows that camps and youth programs need at scale. That’s the gap this integration closes.

How the ACTIVENet and CampDoc integration works

This integration moves the right registration data from ACTIVENet into CampDoc automatically. Once a family registers in ACTIVENet, the participant, guardian, and program details flow into CampDoc, where families are then invited to complete the health forms tied to the program they signed up for.

Here’s how the workflow looks in practice:

  1. Family registers in ACTIVENet. The standard registration captures participant, parent or guardian, and program or session details.
  2. Registration data flows into CampDoc. CampDoc receives the roster and the enrollment information needed to create or update each health record.
  3. Families complete program-specific health forms in CampDoc. Parents and guardians get an email invitation to log in and finish the forms required for the participant and program.
  4. Staff track readiness from the CampDoc admin side. Completion percentages, missing items, and readiness by roster, session, or group are visible long before opening day.

Why this matters for camps and recreation teams

The most common pattern we see in programs that use ACTIVENet for registration is a manual handoff after the family signs up. Someone exports a roster, someone uploads it into a health system, someone follows up with families about forms, and someone double-checks the list before opening day. By the time the season starts, several people have touched the same data, and at least one of them has spent an evening reconciling it.

With the integration enabled teams can expect:

  • Less duplicate entry. Registration data in ACTIVENet doesn’t need to be retyped or re-uploaded into CampDoc.
  • The right forms by default. Families see the CampDoc forms that match the program or session they registered for, which improves accuracy and cuts down on confusion for guardians filling them out.
  • Earlier visibility into readiness. Staff can see which participants have completed forms, which are missing what, and which groups are on track, without waiting for someone to pull a report.
  • Structured, secure health data. Once forms are complete, the information lives in a system built for staff to review, report on, and act on, with privacy and compliance in mind.
  • Onsite tools that match the workflow. During the program, staff use CampDoc’s Health Log and eMAR to document health office activity and medication administration in the same place the records live.

Single-site programs and multi-site agencies

The integration works the same way whether you’re running one summer camp or coordinating dozens of programs across a parks and rec system. ACTIVENet remains the system of record for registration while CampDoc handles the health side. Neither team has to redo what the other has already finished.

Staff don’t need to change anything about how registration runs in ACTIVENet. Health staff get readiness data on their own timeline without pulling rosters or chasing program administrators for updates.
