Announcing Group Registration in CampDoc: A Better Way to Manage Group Enrollment
We’re excited to share that Group Registration is now available in CampDoc, giving camps and youth programs a much more organized way to handle group enrollments.
If you’ve hosted troops, church groups, travel teams, school trips, or similar programs, you already know how group enrollment usually goes. Someone emails to reserve “about 30 spots,” sends a spreadsheet that gets edited three times, and then you’re left trying to line that up with whatever is in your registration system. It works, but it’s fragile and takes a surprising amount of staff time to keep straight.
Group Registration was built to take that whole process out of ad hoc tools and park it in one place where it can actually be managed.
What Group Registration Actually Changes
Instead of treating groups as something you manage off to the side, Group Registration gives group leaders a proper home inside CampDoc.
A scoutmaster, church youth coordinator, or coach can create a group reservation, reserve a block of spots, invite families or participants to register, and see who has completed what. They’re not emailing you a “final list” and hoping it stays accurate. They have their own view into their group, and you’re looking at the same information in your portal.
On your side, you can see:
- How many spots are reserved for each group
- How many participants are fully registered
- Which participants still need to complete forms or require follow-up
You’re not reconciling numbers between your system and whatever document a group leader is using. The counts inside CampDoc become the source of truth.
We also know that the language you use to describe groups can vary quite a bit. One organization may talk about “Groups,” another “Troops,” another “Teams” or “Church Groups.” With Group Registration, you can rename that label so it matches the words your staff and your organizers already use. It’s a small thing, but it makes the experience feel a lot more natural for the people managing those groups year after year.
Because this all lives inside CampDoc, group enrollment isn’t separate from health and safety. Group registrations connect with health forms, medication administration, and illness and injury tracking, all on the same SOC 2 Type II and HIPAA-compliant platform you’re already using or evaluating.
Where This Really Helps
This feature will feel most useful if you work with outside organizations that bring multiple participants at once. A few common patterns we had in mind while building it:
- Scouting organizations bringing units or patrols
- Faith-based groups running retreats or youth trips
- Sports teams and leagues traveling to events or tournaments
- Schools organizing field trips or outdoor education programs
- Community and nonprofit organizations like JCCs and YMCAs
In all of those cases, there’s usually one person on the other end trying to keep track of who is coming, who has paid, and who still needs to finish forms. Group Registration is there to give that person a more structured way to do that work, and to give your staff a clearer view of what’s happening.
If you’ve ever said, “We always end up tracking these groups in a separate spreadsheet,” this is meant to replace that spreadsheet.
