Meet Mass Audubon Joppa Flats
Located at Merrimack River and near the entrance to Parker River National Wildlife Refuge, the Joppa Flats Education Center offers unique educational opportunities for people of all ages.
At Joppa Flats, visitors can explore the region’s wildlife-rich habitats (salt marshes, mudflats, rivers, bays, and coastal waters) through guided tours, marine touch tanks, art exhibits, drop-in programs, and interpretive displays.
The Challenge
Like many other summer camps, Mass Audubon’s Joppa Flats summer camp takes campers on field trips to local educational and recreational facilities. When leaving campus for an off-site trip, it is imperative that camp counselors and trip chaperones have access to vital health information that is readily accessible, including allergy and medication data.
Previously, this meant spending countless hours sorting, copying and packing paper health forms for each camper. While safeguards were always put in place for reviewing camper allergies and medications, the risk for misreading health information due to illegible handwriting, or misplacing or losing health forms entirely was a real risk as well.
The Solution

The CampDoc electronic health record provided a faster and more secure way to collect camper health forms, and reduced paperwork for the camp registrar and camp nurse. Instead of traveling with binders full of paper health forms, Mass Audubon Joppa Flats adjusted their trip protocol to include traveling with a tablet containing a digital copy of every camper’s health records from CampDoc.
“When we went off site to visit the Spencer-Peirce-Little Farm in Newbury, Massachusetts, we took a tablet that had all of the camper files,” said Justin Healey, Summer Camp Leader. “In a last minute decision, our tour guide decided to go pet the horses in between activities. Two of our campers mentioned they may be allergic to horses. In an effort that took no more than two minutes, I looked up their health profiles and found that they both had severe allergies to peanuts and tree nuts, required an EpiPen, and were in the process of being tested for other allergies. With this information readily accessible, we erred on the side of caution and brought them to a different activity.”

The Outcome
Reduced administrative time spent sorting and filing
CampDoc eliminated the time-intensive process of copying and sorting camper health forms for each field trip, and camp administrative and health staff could focus on more important tasks.
